We collect the details you give us in the pilot request form and in emails, and the data you share during the pilot.
We use them to reply to you, run and improve the pilot, and meet our legal duties. We do not sell personal data.
The website does not use advertising or analytics cookies.

1. Who we are

This notice explains how Virtrix ("we", "us") handles personal data when you visit virtrix.ai, ask about the founding pilot or take part in it. We are responsible for the personal data described here. We aim to process personal data in line with the Personal Data Protection Law of the Kingdom of Saudi Arabia and its implementing regulations, and with other data protection laws that apply to us.

2. What we collect

Pilot request details: your name, work email, company, job title, country, organisation type, the areas you are interested in, your phone number and your message, if you provide them.
Communications: emails and other messages you send us, and notes from calls and meetings about the pilot.
Pilot data: information your organisation shares for the pilot, such as site addresses, coordinates, occupancy, values and survey notes. This is mainly business data. It can include personal data, for example the names of contacts at a site.
Technical data: when you load the website, your browser sends standard technical information, such as your IP address and browser type, to our hosting provider and to Google Fonts, which supplies some of the typefaces on the page.

3. How we use it

To reply to your enquiry and decide with you whether the pilot is a good fit.
To set up, run, support and evaluate the pilot.
To improve our methods and platform, using pilot data only as agreed with your organisation.
To keep the website and the pilot secure.
To meet our legal and regulatory obligations, and to establish or defend legal claims.

We rely on your consent, which you give when you submit the form; on what is needed to deliver the pilot to your organisation; and on our legitimate business interests, where the law allows this. We do not use personal data for automated decisions that have legal or similarly significant effects on individuals.

4. Who we share it with

We do not sell personal data. We share it only with:

service providers that help us run the website, email and the pilot, such as hosting, email and cloud storage providers, and Cloudflare (cloudflare.com), which hosts this website and delivers pilot request form entries to our inbox, who act on our instructions;
imagery and data providers, to whom we send only what is needed to obtain imagery or data for a location, such as coordinates, and not personal data;
professional advisers, such as lawyers and auditors, under a duty of confidentiality;
public authorities, where the law requires it.

5. Transfers outside the Kingdom

Some of our service providers may store or process data outside the Kingdom of Saudi Arabia. Where this happens, we take the steps that the applicable law requires for transfers of personal data.

6. How long we keep it

Enquiries that do not lead to a pilot: up to 24 months after our last contact.
Pilot data: for the length of the pilot, then deleted or returned within 90 days unless your organisation asks us to keep it or we agree otherwise in writing.
Records we must keep by law: for as long as the law requires.

7. Security

We use reasonable technical and organisational measures to protect personal data, including access controls and encrypted connections. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a breach affects your personal data, we will notify you and the relevant authority where the law requires us to.

8. Your rights

Depending on the law that applies to you, you can:

be told how your personal data is used;
ask for access to, or a copy of, your personal data;
ask us to correct or complete it;
ask us to delete it when we no longer need it;
withdraw your consent at any time, which does not affect processing that took place before you withdrew it.

To use any of these rights, email info@virtrix.ai. We may need to confirm your identity first. If you are unhappy with how we have handled your request, you can complain to the Saudi Data and Artificial Intelligence Authority (SDAIA) or to your local data protection authority.

9. Cookies

The website does not set advertising or analytics cookies. Our hosting provider may use strictly necessary technical cookies or logs to deliver the page and keep it secure.

10. Children

The website and the pilot are for businesses and are not directed at children. We do not knowingly collect personal data from children.

11. Changes to this notice

We may update this notice from time to time. The date at the top shows when it was last changed.
